Patient Manual
Welcome to Fleurish & Bloom Behavior Center. We are honored to partner with your family. Our mission is to provide high-quality, ethical ABA therapy that supports meaningful progress and long-term success.
This handbook outlines expectations, communication guidelines, attendance policies, safety procedures, and how we work together as a team.
Our Approach
We provide Applied Behavior Analysis (ABA) services individualized to each patient’s needs. Therapy includes:
· Skill acquisition (communication, adaptive skills, social skills, school readiness)
· Behavior reduction plans
· Parent training
· Data-driven decisions
· Collaboration with families and caregivers
Parent Expectations
Parents are expected to support consistency, communication, and participation in therapy. Avoid prompting or directing sessions unless invited by staff.
To ensure your child’s success, we ask for parent partnership in the following areas:
Consistency

Attend scheduled sessions consistently.

Reinforce skills at home as recommended by your BCBA.
-
Follow through with behavior strategies recommended during parent training.
Communication
-
Keep us informed of major changes (medication, family changes, school incidents).
-
Notify us if your child is sick or if a schedule change is needed.
-
Avoid coaching, prompting, or micro-managing sessions unless asked by staff—pairing and rapport are essential.
Participation
-
Attend parent training regularly (insurance-required).
-
Ask questions when unsure—we’re here to support you.
Attendance & Cancellation Policy
Reliability Matters
Consistent therapy is crucial for progress. Insurance companies also require minimum attendance.
Cancellations
-
24-hour notice is required for cancellations when possible.
-
Excessive cancellations (more than 3 per month) may result in schedule adjustments.
Late Arrivals
-
Sessions cannot be extended beyond their scheduled end time.
-
Repeated late arrivals may require a schedule reevaluation.
No-Shows
-
A no-show is when a patient does not attend and no notice is given.
-
Multiple no-shows can result in removal from the schedule.
Illness Policy
Please keep your child home if they have:
-
Fever within the last 24 hours
-
Vomiting or diarrhea
-
Contagious illness
-
Pink eye
Any condition that prevents safe participation
Session Expectation
During Sessions
-
Therapists need uninterrupted time to build rapport, collect data, and implement protocols.
-
Parents may observe calmly but should not coach, give directions, or intervene unless asked.

Siblings may not participate in sessions unless planned and approved.
Environment
For in-home services:
-
Please have a clear space for therapy.
-
Remove unsafe items.
-
Keep pets secured when needed.
-
Minimize background noise and distractions.
Food, Reinforcers & Materials

Please have preferred snacks or reinforcers available if used for programming.

Inform your BCBA of any new preferences or restrictions.
Safety & Crisis Procedures
Staff follow individualized Behavior Intervention Plans using least intrusive, evidence-based strategies. Parents should allow RBTs to implement the plan safely.
Safety is our top priority. RBTs and BCBAs follow strict protocols.
If Challenging Behavior Occurs:
We will:

Follow the individualized Behavior Intervention Plan

Use least-intrusive, evidence-based strategies
-
Maintain safety while avoiding restraint unless absolutely necessary and only within state guidelines
Parents should:

Avoid physically intervening unless instructed
-
Allow the RBT to manage the behavior using the approved plan
Professional Boundaries
Staff cannot provide childcare, transportation, or personal services. Follow HIPAA and BACB ethics. Respect communication boundaries.
To protect your family and our staff, we follow BACB ethical standards.

Staff cannot provide babysitting, transportation, or non-ABA services.

Communication should remain professional (no late-night calls/texts unless urgent), RBT’s are instructed not to give their phone number to families, all communication should occur through BCBA.

Dual relationships (family friends, business relationships, etc.) are not permitted.
Parent Training
Required by insurance and essential for generalization. Includes communication skills, behavior management, reinforcement, and daily living skills training.

Topics may include:

Managing problem behaviors

Reinforcement strategies

Understanding data and progress
Discharge and Transition Policy
Patient may be discharged for goal completion, parent request, attendance issues, safety concerns, or insurance loss. A discharge summary will be provided.
A patient may be discharged if:

Treatment goals have been met
-
The family elects to discontinue services
-
Attendance is consistently poor
-
Safety risks are present
-
Parents repeatedly interfere with treatment implementation despite coaching
-
Insurance authorization ends
Families will receive:

A formal discharge summary
-
Recommendations for next steps
-
Referrals if needed
Mandatory Requirements
- Parent training is required for medical necessity.
- Attendance must be consistent to maintain authorization.
- BCBA supervision requirements must be met.
- BCBS requires accurate documentation, adherence to treatment plans, and timely session notes.
- Tricare and CHAMPVA require providers to accept allowable charges.
- Only medically necessary, evidence-based ABA services may be billed.
- Parents must participate in treatment planning when requested.
